Position Summary
Earthshare Construction LLC is seeking a highly skilled Project Manager to oversee and lead all aspects of the project development and construction process from initial sales inquiry to project closeout, ensuring maximum efficiency and customer satisfaction.   Primary responsibilities include: driving the sales process, frequent communication with all project stakeholders, client services, production schedule and budget monitoring, and ensuring a high-functioning job site. This individual is a member of the Project Team and reports to the Operations Manager and Owner.  Project Managers manage small and large projects in conjunction with the Lead Carpenter and for larger projects may have additional support from an Assistant Project Manager.   The ideal candidate will have 15+ years of residential construction experience mostly in producing or managing projects from start to finish, with an additional 5 years in a company leadership role.  They will have deep knowledge of building science and high performance construction techniques, proven managerial skills to actively monitor all activities and personnel on the jobsite, and leadership skills rooted in integrity.

 

Responsibilities and Desired Skills/Competencies

General:

  • Understands the Earthshare sales and production processes and how best to support them to ensure smooth project functioning from initial inquiry to project closeout
  • Proactively maintains consistent communication with all project team members (including trade partners and vendors) and provides exceptional customer service to clients
  • Creates and monitors project to-do lists for the duration of the project to ensure that tasks are properly assigned and completed on time
  • Has deep knowledge of high-performance construction details and can fully interpret plan sets
  • Analyzes and interprets project documentation including plans, subcontractor quotes, vendor estimates, takeoffs, contracts, schedules, and selection lists
  • Maintains working knowledge of Contractor Foreman, Google Suite (Gmail, Drive, Docs, Sheets), and other technologies required for organization, communication, and tracking of project status
  • Ability to update project documentation (contracts, scope of work, plans, specifications, trade partner quotes, checklists, project meeting minutes, product selections, etc.) in the appropriate folder in Google Drive
  • Creates or approves all pre-construction schedules, estimates, scopes of work, production schedules, and change orders in Contractor Foreman 
  • Highly resourceful with the ability to manage concurrent projects and juggle competing priorities

 

Sales and pre-construction process:

  • As a company brand ambassador, accurately represents company and communicates Earthshare’s values and sales process in an accessible way
  • Facilitates site visit and design meetings with clients, reviewing scope, schedule, goals, priorities, budget, and expectations
  • Generates accurate preliminary cost projections using correct estimating protocols and revises cost projections as necessary
  • Supports the sales process to gather project requirements and prepare and secure a Pre-Construction Agreement
  • Creates or approves a realistic pre-construction schedule, staying on top of critical deadlines and avoiding delays
  • Solicits initial and revised trade partner and vendor quotes, ensuring their entry into Contractor Foreman estimate
  • Generates labor schedules and take-offs
  • Is knowledgeable about product and material offerings and assists with or approves client selections
  • Works closely with the client and designer/architect to develop the pre-construction estimates, document construction details and client selections, and generate contract documents
  • Facilitates discussion on all high-performance construction details, ensures those details are clearly outlined in the scope of work, and verifies adequate synchronization across all project documentation prior to construction start

 

Construction process:

  • In partnership with Lead Carpenter, keeps client informed about issues of importance to the client; responds to client requests quickly and professionally
  • Facilitates project meetings (with clients, architects, lead carpenters, and/or trade partners), records meeting notes, and follows up on actions assigned to all team members to ensure they are competed in a timely manner
  • Creates or approves initial production schedule and works with Lead Carpenter to update it regularly
  • Creates or approves schedules for client decision-making, permitting, and material ordering as needed
  • Creates or approves 2 copies of the Project Binder: 1 for use by the administrative team in office and 1 edited/curated version for use by the carpentry crew on site
  • Supports Lead Carpenter with material ordering and trade partner and inspection coordination as needed
  • Analyzes job cost reports throughout duration of project, forecasting overages, and communicating with Lead Carpenter as needed
  • Creates or approves change order documents as needed
  • Codes vendor and trade partner invoices properly for job cost accounting 
  • When necessary, approves client invoicing and payment schedule revisions due to change orders or production delays

 

Lead Carpenter support:

  • Supports Lead Carpenter in anticipating future production needs, as dictated by production schedule, trade partner schedules, and vendor deliveries
  • Assists Lead Carpenter in solving any operational or personnel issues that arise promptly and effectively
  • Collaborates with Lead Carpenter to oversee safety, site organization and cleanliness, and quality control processes for Earthshare crew and trade partners
  • Ensures achievement of agreed-upon building performance standards
  • Problem solves with Lead Carpenter if problems arise during production due to interpretation of specifications or unforeseen changes in building details, aiming for client satisfaction while also protecting the project’s profit goals

 

Project closeout:

  • Supports Lead Carpenter in punch list completion and final quality control, ensuring customer satisfaction
  • Supports project closeout activities such as final invoicing, analysis of job profitability, and final project debrief with key project stakeholders
  • Generates the opportunity for and collects positive client testimonials that help differentiate the company and show our commitment to customer experience and quality, high performance builds

 

As member of Earthshare’s leadership team:

  • Alongside Operations Manager, conducts regular (30-day, 90-day, and annual) employee reviews that include clear, actionable feedback
  • Collaborates with Owner/CEO, Operations Manager, and other PMs on strategic planning
  • Regularly assesses Earthshare’s operational performance and identifies areas for enhancement
  • Brings high level of authenticity and integrity to all tasks
  • Fosters a positive and collaborative work environment with excellent attitude and communication skills
  • Ability to bounce back from challenging experiences professionally and personally to maintain job performance and properly represent the company’s brand

Ideal Experience
The ideal candidate would be a proven leader and manager with 15+ years of residential construction experience mostly in producing or managing projects from start to finish, and deep knowledge of building science and high performance construction.  The candidate would be interested in living and working in the Upper Valley area for an extended period.  We value diversity and inclusion, and welcome applications from anyone and everyone as long as they have the prerequisite carpentry and/or trades experience.

 

Schedule, Wage, and Advancement
A Project Manager is expected to work a minimum of 35-40 hours per week during the business hours of 7:30am–5pm on weekdays.
